Turn a customer enquiry into a clear estimate

A simple intake process helps a service business understand the work, set expectations and follow up consistently.

01

Capture the essentials once

Record the customer’s preferred contact method, service address, problem description and relevant photos. Note the source of the enquiry so you can understand which channels produce useful work.

02

Confirm the next step

Tell the customer whether the next step is a diagnostic appointment, site visit or written estimate. Explain any assessment fee and what it covers. Assign responsibility for the follow-up inside your team.

03

Write an estimate that can become a job

Include line-item scope, exclusions, approvals and payment terms. Keep revisions attached to the same customer record. When the customer approves, carry those details forward so the field team has the agreed instructions.
